How does MyFlexLearning work in phone-free schools?
MyFlexLearning is designed to work seamlessly in phone-free environments. Students can access it on any school-approved device, such as Chromebooks, laptops, tablets, or desktop computers, so mobile phones are not required.
Schools can set up access points like classrooms, libraries, media centers, or designated kiosks where students can sign up for sessions or check their schedules. Teachers and staff can also assist with scheduling or make assignments on behalf of students when needed.
Where is our school data stored?
Our application and databases are hosted on Amazon Web Services (AWS). Data is stored based on geographic location: U.S. school data resides exclusively in AWS data centers within the United States, while Canadian school data is stored exclusively in AWS data centers in Canada to meet provincial data residency requirements.
We follow industry-standard security practices to protect school and student data, including encryption both in transit and at rest, secure cloud infrastructure, and regular security reviews. Our platform is built with a privacy-by-design approach and complies with applicable education data protection regulations, including FERPA and relevant Canadian provincial privacy laws.
Is our student data secure?
Absolutely. Our platform is designed with a defense-in-depth security model to protect student data at all layers. We implement industry-standard controls, including encryption in transit (SSL/TLS). Access to data is governed by strict role-based access controls (RBAC) and the principle of least privilege, ensuring that only authorized users can access sensitive information.
Our infrastructure is hosted on AWS and leverages secure cloud architecture, including network isolation, firewalls, and continuous monitoring. We conduct regular vulnerability scanning, security assessments, and periodic third-party reviews to identify and mitigate risks.

What information does MyFlexLearning need to get started?
MyFlexLearning requires minimal information to operate: basic student and staff data (names, emails, IDs), advisories (if your school uses them), and classrooms. Optional but helpful data includes daily attendance, student schedules, and current grades. This information enables powerful features like auto-assigning struggling students to interventions or tracking attendance patterns. MyFlexLearning integrates seamlessly with any Student Information System (SIS) so that on a regularly scheduled basis it automatically pulls in the data, mitigating the need for you to manually enter or update lists. What configuration options does MyFlexLearning offer?
MyFlexLearning gives administrators extensive control to make flex time work exactly how your school wants it to so that it meets the needs and usage expectations for teachers and students. Configuration options include:
- Student scheduling permissions: MyFlexLearning has a variety of ways to control if and when students have the ability to change their schedule such as: how far into the future, what time the window opens, daily cutoff times, only allowed on specific days, etc.
- Teacher permissions: MyFlexLearning allows your school to determine what actions teachers are allowed to do, beyond taking attendance and scheduling students. Things such as – creating classes, managing when classes occur, editing class details, scheduling time outside of defined flex periods, and more.
- Auto-assignment settings: When students are configured to be scheduled automatically in MyFlexLearning, there are numerous options available to determine how the system will schedule the students. These options include: setting grade performance thresholds (above or below number/letter), with specific advisors, in specific class types, etc.
- Class eligibility restrictions: MyFlexLearning allows you to configure a class to control which students can sign up based on a variety of attributes and one or more can be used in combination. These include: grade level, whether the teacher is the student’s academic teacher, if the student is a member of a specific group, and more.
- Class parameters: In MyFlexLearning, class parameters can be set for the class as a whole – for each instance or date it meets, but you can also change those parameters for individual dates to meet needs that may ebb and flow. You can set class size, description, classroom, co-teacher(s), attendance process (negative or positive) and even change the class name for a given date.
Configuration is controlled by your school to support your specific approach to flex, whether that is for tight administrative control, maximum student choice or something in between. The configuration is flexible too! As time progresses, if and when your school needs to change, configuration can simply be changed to meet new needs. How do students know where to go each day?
Students can log into MyFlexLearning from any computer, tablet, or smartphone to view their personalized schedule for the day. Teachers and administrators can also access any student’s calendar to see where they are scheduled.
In many schools, homeroom or advisory teachers can display a screen view showing all of their students’ daily selections, making it easy for students to know where to go next and ensuring smooth transitions throughout the day.
What happens if a student doesn't request a session and no teacher requests them?
It depends on how your school structures flex time. MyFlexLearning offers flexibility to manage this in two ways:
- Students scheduled by default: Students can be assigned to classes automatically, either based on their homeroom/advisor teacher or from existing SIS section rosters. If a student doesn’t make any changes and a teacher hasn’t adjusted their schedule, no action is needed because the student is already accounted for on the class roster.
- Students unscheduled by default: Some schools start students as unscheduled, giving them the freedom to sign up for sessions they want to attend. In this case, administrators need to ensure students are placed into classes—this could involve just a few students or hundreds.

When constraints are applied, only eligible students will see the class as an option—others won’t even know it exists. How do students access MyFlexLearning?
MyFlexLearning is a web-based platform that students can access through any modern browser or via our mobile apps on iOS and Android. Our pricing is based on the size of your school, including the number of students and staff, so it scales to fit your needs. The annual subscription includes everything required to run the platform: secure cloud hosting, system administration, ongoing updates and releases, monitoring, backup and disaster recovery, as well as training and customer support.
In the first year, there is a one-time implementation fee that covers setup, SIS integration, and initial configuration to ensure a smooth launch.
We also offer flexible pricing options, including discounts for multi-year agreements and for schools in certain situations—such as being the first in a region to adopt the platform.
Because every school’s needs are a bit different, we provide customized quotes based on your enrollment and goals. We’re happy to work with you to find a pricing structure that fits your budget.
